Everything you need to know before booking

We recommend booking at least 4-6 months in advance for domestic retreats and 6-9 months for international destinations. This gives us time to secure the best accommodations, negotiate group rates, and lock in exclusive experiences. However, we have pulled off incredible retreats in as little as 8 weeks for flexible groups.

Our sweet spot is 6-12 people, which is the typical EO forum size. This allows for intimate experiences while still having enough people for group dynamics. We can accommodate larger groups with our extended group surcharge, which covers the additional coordination complexity.

We plan retreats both domestically and internationally. Popular domestic destinations include Savannah, Napa Valley, Charleston, Scottsdale, and Park City. Internationally, we have planned retreats in Mexico, Costa Rica, Portugal, Italy, Japan, and many more. If you have a dream destination, we will make it happen.

Our per-person fee covers all planning, research, coordination, and digital tools. It does not include the actual cost of hotels, flights, meals, or activities — those are separate and tracked transparently through our budget management system. Think of our fee as the concierge and planning layer on top of your retreat expenses.

Absolutely. Every retreat is built from scratch based on your forum's preferences. We start with a discovery survey, present destination options, and iterate on the itinerary until it is perfect. You will have multiple review points and full approval before anything is finalized.

With Self-Drive, we handle all the planning and hand you a complete, ready-to-execute itinerary. Your forum runs the retreat using our detailed guides and digital companion. With Concierge, we are physically present during the retreat, handling logistics in real time so the forum leader can be fully present in the experience rather than managing details.
